Birthday Party Policies
Thank you for booking your birthday party at Lollipop Art Lounge! We strive to make your child’s birthday a memorable experience for all that attend! Please take a moment to read through the following information regarding your child’s birthday, and if you have any questions, do not hesitate to call us at 905 849-1711 or email us.
BOOKING & CANCELLATION
A $200 non-refundable deposit is required to book your party. Party date and time cannot be changed unless authorized by Lollipop Art Lounge. Birthday dates and times cannot be booked or held until payment is received. A credit card is required at time of booking. If the party deposit is made through PayPal, cash or debit transactions, a credit card is still required. A representative of Lollipop Art Lounge may contact you to confirm the booking and obtain a credit card number to finalize the booking.
The remainder of birthday party fee, including add-ons, must be paid 48 hours prior to your reserved booking time. The final deposit will be based on the numbers of confirmed guests using the credit card provided at time of booking. Confirmation of your numbers is due the Tuesday before your party (including any additional pizza or cupcakes for the adults).
Refunds will not be given for guests that do not attend however food, art materials and loot bags (if ordered) can be sent home with the party child. If a final guest count is not provided, Lollipop will automatically charge for 12 guests and a refund will not be provided should less guests attend.
All party packages are based on 8 guests, including the birthday child. Package fees cannot be reduced if there are less than 8 guests attending. There is an additional charge of $30 ($35 for Make Your Own Stuffie Party) per guest after 8.
There will be an additional staffing fee of $50 if party guests are confirmed at 13 – 19 guests. For 20 – 25 Guests the staffing fee increases to $75. If less guests attend the day of, the staffing fee cannot be refunded. Parents/adults are welcome to stay up to a maximum of 12 Adults. There is a staffing fee of $50 for 9 – 12 adults. There is no charge for adults if there are less than 9 who stay. Please note that the studio can accommodate a maximum of 30 people (any combination of Kids and Adults is fine providing the final number of people does not exceed 30).
Once numbers have been confirmed, any additional guests that attend the day of the party will be subject to an additional fee of $30 per guest ($35 for Make Your Own Stuffie Party), charged to the credit card provided at time of booking. Please note that the art projects or loot bag items (if ordered) may vary from original items selected at time of booking. Lollipop prepares art materials and loot bags (if ordered) in advance based on the confirmed number of guests.
Parents of the birthday child may arrive 15 minutes prior to party to greet guests and/or set-up any additional items they are providing.
Parties are 2 hours in length, unless extended time is booked rate of $75 per half hour when available. Extended time must be booked in advance of party date as Lollipop Art Lounge cannot guarantee extended time will be available the day of. Parties will be automatically charged $75 in the event that the facility is not vacated on time.
In the event that a reserved party booking has to be cancelled the deposit will not be refunded and there will be an additional cancellation fee of $75. The fee will be charged to the credit card provided at time of booking. If the party is rescheduled within the same year the cancellation fee will be waived. A new deposit will be needed to reschedule. The cancellation fee will not be waived if notice of cancellation/rescheduling is given less than 2 weeks of the scheduled program.
The full party fee will be charged if less than 48 hours notice is given for cancellations or rescheduling.
OUTSIDE FOOD
Outside food is permitted during parties. We ask that all items are nut-free. Lollipop does not provide serving utensils or serving trays for additional food not ordered through Lollipop Art Lounge. Lollipop can order additional pizza and cupcakes at an additional charge. Lollipop staff will serve pizza, juice and cupcakes to all child party guests. Additional food provided for adult guests is to be served by parent(s) of birthday child.
DECORATIONS
Lollipop provides table coverings, a small balloon bouquet, plates and napkins in the selected colour choice for all guests to enjoy. Plastic cups and plastic forks are also provided.
Additional decorations items may be brought in. We ask that any additional decorations or loot bags items be dropped off in advance of the party date if possible. Lollipop staff will be happy to assist with decorating.
INCLEMENT WEATHER
The decision to close Lollipop Art Lounge cannot be made lightly. In extreme weather conditions, Lollipop may decide to close for the safety of our staff and party guests. Lollipop will make every effort to contact the party family as soon as the decision to close is made and will work together with the family to re-schedule the party as close to the original booking date as possible.
OTHERS
All fees are subject to HST.
Lollipop Art Lounge staff’s first priority is to the child party guests. All party packages are for ages 3+ with the exception of the Classic Art Party which is geared towards ages 6+ and the Sewing Specialty package where all guests must be at least 8 years of age. Guests younger than 8 years will not be able to participate and refunds will not be given. The party lead may be able to provide a substitute art project however, this is not guaranteed. Specialty Sewing parties also require an additional waiver to be signed. We highly recommend a Specialty Party for children turning 3 years old.
Maximum 30 guests are permitted in the studio. Total number includes all children, adults, and siblings. At least one adult must stay with the children during to assist with supervision for the entire party. Lollipop Art Lounge cannot guarantee a peanut free facility. Lollipop makes every effort to enforce that all items brought into the studio are nut free however, because we service the public, we cannot claim that outside items, not provided by Lollipop Art Lounge, are 100% nut free.
If alternative food options are needed due to allergy reasons, guests are welcome to bring them.
In the event that there is an error with your original booking date and/or time, Lollipop will make every effort to reschedule the party as close as possible to the original date and/or time. The rescheduling fee of $75 does not apply.
Lollipop will make every effort to make sure that our staff provides the best service possible and provides a unique, fun and memorable experience for the birthday child and all guests. Should a discrepancy arise, Lollipop will address the situation in a timely manner and work hard to resolve the occurrence in a suitable manner, which is up to the discretion of Lollipop Management.
Lollipop Art Lounge staff can refuse service to anyone who makes them feel uncomfortable or unsafe. Lollipop staff can end the party at any time and ask guests to leave if they feel threatened or uncomfortable in any way. Refunds will not be given in the event that Lollipop staff refuses service due to guest misconduct, which is up to the discretion of Lollipop Staff.
